Stackby AI now goes beyond text columns — it can read, understand, and analyze documents uploaded in your Attachment column. Whether you upload PDFs, Word files, or text-based reports, Stackby’s AI can extract key information, summarize content, classify documents, or answer specific questions — all automatically, directly inside your table.
This new AI: Document Analysis capability transforms how you interact with files — making document-heavy workflows smarter, faster, and completely automated.
Unlike other tools that require complex integrations or manual uploads, Stackby’s AI Document Analysis works natively inside your tables — right where your data already lives.
Here’s what makes it unique:
Feature | What It Means for You |
Native Attachment Support | AI reads PDFs, Word docs, text files, and more directly from the Attachment column. |
Bring Your Own AI | Use your own API key from OpenAI, Google Gemini, or Anthropic for total flexibility and control. |
Prompt Customization | Write precise prompts to extract, summarize, or analyze any document content. |
Dynamic References | Reference other columns like [Client Name] or [Document Type] to make each AI output context-aware. |
Automation Ready | Combine with Stackby Automations to process new or updated documents instantly. |
The AI Document Analysis feature works through AI Field Agents configured to read data from your Attachment columns.
Step 1: Prepare Your Table
Create a Stack (database) and a table where your documents live.
For example:
Column | Type | Description |
Document Name | Text | The title of your file |
Document | Attachment | Upload PDF, DOCX, or TXT files |
Document Type | Single Select | Proposal, Invoice, Contract, Report |
AI Analysis | AI | Where the AI-generated summary or insights will appear |
Step 2: Add an AI Column
Click + to add a new column.
Choose AI as the column type.
In the configuration panel:
Name your column (e.g., “AI Summary” or “AI Key Points”).
Select your preferred AI model (e.g., GPT-4, Gemini Pro, Claude 3 Sonnet).
Add your API key, or use the default Stackby integration.
Write your custom prompt (examples below).
Reference your Attachment column — e.g., [Document].
Step 3: Craft Your Prompt
You control exactly how the AI analyzes your documents.
Here are some example prompts for common use cases:
Use Case | Example Prompt |
Summarization | “Read the document in [Document] and summarize it in 5 bullet points.” |
Key Insights | “Extract the top 3 insights or recommendations from [Document].” |
Contract Review | “Identify all obligations, parties, and due dates from the contract in [Document].” |
Invoice Data Extraction | “From [Document], extract the vendor name, invoice number, total amount, and due date in JSON format.” |
Meeting Minutes Summary | “Summarize the meeting in [Document] and list all action items and owners.” |
Research Report Analysis | “Based on [Document], provide a one-paragraph summary followed by 3 key takeaways.” |
Tip: You can include other contextual fields like [Document Type] or [Client Name] to make your AI output more precise.
